Offline sessions are intended for sessions that did not happen within the Keel Mind platform – this could be over a phone call or in person.
Care Providers can add in all the same details as a normal session, but they’ll have a dedicated spot to create it.
Your organization decides whether the offline sessions require supervisor approval as well, where the Supervisor would be notified to review and approve the session manually.
To Create Offline Sessions:
- Care providers can create offline sessions from Session -> Past sessions or within the client details page.

- Click the “Create Offline session” button to open the offline session creation window.
- Fill in the information and click on "Create Session" once done.
You may refer to these offline sessions to create process notes and link progress notes to ensure that all sessions with the client are properly documented.
Supervisor Approval
If your organization requires Supervisor Approval for Offline Sessions, your created session will show a Pending Approval status. Your supervisor will receive an in-app and email notification requesting for session approval.
Check your in-app notifications to see whether your supervisor has approved (or rejected) your offline session request.
Once approved, you can start adding your notes. If you recorded audio or video during the session, you can upload those files to use the platform's transcription and analytics features. Please note that sessions under review or pending approval cannot be edited at that time.
